Terms & Conditions

Last Updated: June 2026

Welcome to Duct Doctor. By requesting, scheduling, or receiving any services from Duct Doctor ("Company," "we," "us," or "our"), you ("Customer" or "you") agree to be bound by these Terms & Conditions. Please read them carefully.

1. Services

Duct Doctor provides commercial kitchen hood and exhaust system cleaning, grease removal, ductwork inspection, and related ventilation services. The specific scope of work will be confirmed prior to each job. Any additional work identified on-site will be quoted separately before proceeding.

2. Scheduling & Site Access

The Customer agrees to provide safe, unobstructed access to all areas requiring service. Kitchen equipment must be cooled and in a safe state before our arrival. If access is denied, equipment is in an unsafe condition, or site conditions prevent work from starting, we reserve the right to reschedule or charge a trip fee.

3. Pricing & Payment

All quotes are estimates based on information provided in advance. Final charges may differ based on actual conditions found on-site, which will be communicated before work proceeds. Payment is due upon completion of service unless a prior billing arrangement is established in writing. Overdue balances may be subject to a late fee.

4. Cancellations & Rescheduling

We request at least 24 hours' notice for cancellations or rescheduling. Late cancellations or no-shows may result in a cancellation fee. We reserve the right to reschedule in cases of emergency, severe weather, or circumstances beyond our control.

5. NFPA 96 Compliance

Our services are performed in accordance with NFPA 96 — Standard for Ventilation Control and Fire Protection of Commercial Cooking Operations. Service documentation is provided upon request. The Customer is solely responsible for maintaining the cleaning frequency required by their local fire code, health department, and insurance carrier.

6. Customer Responsibilities

By engaging our services, the Customer agrees to:

  • Disclose any known hazards, unusual conditions, or equipment limitations.
  • Ensure the appropriate personnel are present to provide access and approvals.
  • Secure or remove items that could be damaged during the cleaning process.
  • Maintain cleaning schedules as required by insurers and local authorities.

7. Service Warranty

We stand behind the quality of our work. If you are unsatisfied with a completed service, notify us within 48 hours and we will return to address any deficiencies at no additional charge. This is your sole remedy for service quality disputes.

8. Limitation of Liability

Duct Doctor's liability for any claim arising from our services shall not exceed the amount paid for the specific service giving rise to the claim. We are not liable for pre-existing conditions, equipment failures unrelated to our work, or any indirect, incidental, or consequential damages.

9. Photography & Documentation

We may photograph before-and-after conditions for documentation, quality assurance, and marketing purposes. Images will not include signage or information that identifies your business without your prior consent.

10. Governing Law

These Terms & Conditions are governed by the laws of the State of Georgia. Any disputes shall be submitted to the courts of appropriate jurisdiction in the State of Georgia.

11. Changes to These Terms

We may revise these Terms & Conditions at any time. Changes take effect when posted on this page. Continued use of our services after changes are posted constitutes your acceptance of the updated terms.
